Keep the relationship, separate the purchase

An established customer can consider several independent pieces of work. Each possible purchase needs its own scope, timing and outcome, while the relationship history remains shared. Reusing the old opportunity by overwriting it can erase what happened and confuse reporting. Creating a new company record for every purchase creates a different problem: fragmented context. Capsule’s contacts and opportunities support a separation, but the team needs a clear rule for when a new commercial record is warranted.

Use a change-of-scope test

Ask whether the new discussion changes the existing accepted commitment or represents a separate buying decision. A revision within agreed delivery belongs in the appropriate change process. A new project with its own approval and commercial terms may deserve a separate opportunity. The distinction is a business decision, not something the CRM can infer reliably from a new email. Record the reason so a covering colleague understands why two records exist.

Prevent shared-context duplication

Link the relevant people and organization through supported behavior, keeping common relationship information in one place. Put purchase-specific assumptions and actions on the relevant opportunity. If several opportunities are active, make the task wording unambiguous: “confirm the website scope” is clearer than “follow up North Pier.” Check that the correct record carries any projected value and that a lost or delayed purchase does not incorrectly imply the entire customer relationship has ended.

Connect sales to delivery deliberately

When a new purchase is agreed, preserve the approved scope and first delivery action in the handoff. Do not treat the won state as evidence of completion. At the relationship review, distinguish outstanding delivery obligations from potential future business. This keeps repeat-client care useful rather than reducing it to another sales chase.
