Diagnose a stalled opportunity before chasing again

Quick answerIdentify the missing decision, decision maker or timing evidence before creating another follow-up.
What to know

Troubleshooting: diagnose the missing decision

A deal can stall because the buyer lacks information, authority, timing or a reason to proceed. It can also stall because your team has misunderstood the problem. Another reminder will not solve every cause. Review the latest evidence and name the unresolved decision before acting. Capsule’s stage and task records can organize this review, but a stale indicator is only a signal to investigate, not proof that more contact is appropriate.

What to know

Separate silence from a known obstacle

If the buyer identified a specific blocker, record it and assign an action only if your team can legitimately help resolve it. If the reason is unknown, avoid writing an explanation as fact. A concise, relevant clarification may be appropriate; repeated generic follow-ups may not be. Check recent communication and ownership first so another colleague is not already handling the same issue. Preserve the difference between what the buyer said and what your team inferred.

What to know

Choose a proportionate outcome

Continue when there is a clear next decision and a valid reason to act. Pause when timing is explicitly deferred. Close or remove from active planning when the opportunity no longer meets the team’s definition of current work. Verify supported product behavior before changing statuses that affect tasks or automation. Do not create a replacement opportunity simply to reset its apparent age; that obscures history and can duplicate projected value or follow-up work.

What to know

Repair the stage model if the pattern repeats

If many opportunities stall at the same point, inspect the evidence required to enter that stage. Perhaps the team records “proposal” before confirming the buyer’s actual requirement or decision process. Repair that boundary rather than increasing the number of automated reminders. Continue to qualification evidence and lost reasons for a clearer diagnosis. The goal is a more truthful pipeline and better next actions, not a guarantee that every stalled relationship can be converted into a sale.

Continue when useful
