Setup checklist: inspect the output, not just the download
An export button does not prove that you have a complete restorable account. Capsule’s export documentation should be checked for the selected record type and format. Download only through authorized access and store the result appropriately. Then inspect what it actually contains: identifiers, key fields and the relationships needed to reconstruct useful work. A file opening successfully is only the beginning of the test, not evidence that every note, attachment or configuration has been preserved.
Test a reconstruction question
Ask whether another person could identify an important relationship and its current commitment from the saved material and accompanying process notes. Use fictional or appropriately authorized records. Do not import the file into a live system merely to prove that something happens. If a local or approved test is available, keep it isolated and account for duplicate creation. The useful result is a precise statement of what the export can and cannot support.
Document missing pieces
Configuration, mailbox connections, task state and historical relationships may require separate evidence or may not be recoverable in the same form. Do not invent a backup guarantee where the product only offers data export. Record the dependencies and ask the merchant a specific question if an essential capability is unclear. Keep unresolved limitations visible in the buying decision. An exit can still be feasible without perfect restoration, but its cost and data loss risk must be understood.
Set a proportionate review
Repeat the drill when the working model changes materially or before a consequential migration, rather than downloading private data unnecessarily every day. Apply the organization’s retention and access policies to old exports. Keep the source of each file and its date clear. Continue to the exit plan for the broader transition and source snapshots for migration evidence. The aim is demonstrated recoverability of useful work, not a comforting folder labeled backup that nobody has inspected.
