Setup checklist: won is not delivered
A won opportunity records a commercial outcome; it does not prove that the promised work has been started or completed. Carry the accepted scope, relevant evidence, delivery owner and first action into the delivery context. Capsule’s projects can support an organized handoff, but the team must decide what information is authoritative. Do not rely on a celebratory stage change to communicate the practical commitments that another person now has to fulfill.
Use a small handoff packet
Include what was agreed, what was explicitly excluded, the key dates and the person who can resolve ambiguity. Keep the source of approval accessible to authorized colleagues. A fictional website project may have a clear design scope but unresolved content responsibility; that uncertainty should remain visible rather than becoming an assumed delivery promise. The receiving person should be able to identify the first action without reading every sales note or asking the salesperson to retell the entire conversation.
Check ownership and related tasks
Confirm which open sales actions are still relevant and which belong in delivery. Avoid creating competing copies of the same commitment on both records. Verify current product behavior when closing opportunities or projects, since task visibility and status may depend on the linked record. Do not assume a moved stage automatically transfers every responsibility. Test the intended workflow with fictional records before using automation to create customer-facing actions or delivery commitments.
Verify that delivery accepts the handoff
Have the delivery owner acknowledge unresolved items and the next step. This can be a brief internal confirmation rather than a formal ceremony, but it should establish that the work is understood. Later scope changes should preserve the original agreement and record the new decision separately. Continue to project-versus-opportunity boundaries and delivery change control so the handoff does not collapse back into a sales record that simultaneously means proposed, sold and completed.
