A note explains an event, observation or decision. A task makes a future commitment visible to an owner. When a promise exists only inside a paragraph of meeting notes, colleagues may not find it in time. When all background is copied into a task title, the action becomes difficult to scan. Split a meeting outcome carefully

Suppose a customer says the proposal is useful but asks for a revised delivery date. The note should explain the discussion and any uncertainty. The task should identify who will obtain the revised date and when. The opportunity should reflect only the commercial evidence actually established. Do not mark the deal as effectively won because the conversation sounded positive. This fictional example shows why one record type cannot safely represent every aspect of a relationship.

Avoid competing copies

A short summary may appear in several places, but only one action should be treated as the current commitment. If two tasks represent the same promise, completing one can leave the other misleadingly overdue. Link to the relevant context through supported product behavior rather than copying a long narrative into every record. When circumstances change, update the active commitment and preserve the reason in history. Do not silently rewrite an old note to make it appear that today’s decision was always known.

Repair the existing backlog selectively

Review important open relationships for promises hidden in notes. Create or clarify an owned action only when the obligation remains valid and no equivalent task already exists. Do not convert every historical sentence into new work. The goal is to recover current responsibility, not inflate activity counts.
