Setup checklist: transfer the promise and its context
Changing a record owner is not enough if the new person cannot explain the relationship or identify the next commitment. A handoff should include the current state, open decisions, next action and relevant evidence. Capsule’s team-task documentation supports assignment, but the quality of the transfer remains an operating responsibility. Treat a handoff as complete only when the receiving person knows what they are expected to do and where to find the underlying context.
Use a short handoff record
Write four lines: what is happening, what has been promised, what remains uncertain and who acts next. Link the relevant opportunity or project where supported. Keep the description factual; distinguish an agreed date from an internal target. For a fictional North Pier opportunity, “Alex is reviewing scope; no approval yet; confirm on Thursday” is more useful than “hot lead.” The new owner should not inherit optimistic labels without the evidence needed to interpret them.
Prevent a double-owner period
Decide when the transfer takes effect and whether the original owner should stop outbound action. If both continue independently, the customer may receive duplicate messages or conflicting promises. For temporary cover, record when responsibility returns and how changes will be communicated. Do not share personal credentials to make the handoff easier. Use supported access and assignment controls, and verify that the receiving colleague can see the necessary information without expanding access unnecessarily.
Verify the receiving owner’s next action
Ask the new owner to identify the next action from the record and acknowledge any unresolved issue. This need not become a bureaucratic ceremony; a clear internal confirmation is often enough. Check that open tasks were actually reassigned where required rather than assuming the contact owner change handled everything. Keep the original history intact. Continue to absence coverage for temporary transfers or the departure checklist when the person is leaving the organization permanently.
