Setup checklist: useful is better than merely complete

A record with every field filled can still be unreliable if its values are guessed or its next action is unclear. Review whether the record supports the decision colleagues actually need to make. Can they identify the relationship, understand the current evidence and find the owner of the next commitment? Use a decision-based sample

Choose a new inquiry, a repeat customer, a stalled opportunity and a recent handoff. Ask a colleague who did not create each record to explain the current state. Note missing context, contradictory values and unclear ownership separately. Do not treat every blank as a defect. Some information is legitimately unknown or irrelevant. The useful question is whether the missing or misleading information prevents a safe next action, not whether the record matches an idealized form.

Repair the cause of poor data

If colleagues interpret a field differently, clarify its definition. If important promises are hidden in notes, improve the task convention. If information becomes stale because no one owns updates, assign that responsibility. Adding more required fields can make the problem worse by encouraging guesses. Keep the repair proportionate and test it on new work before rewriting history. Preserve the distinction between a factual correction and a changed interpretation of an old event.

What to know

Test whether the repair improves later records

Record a small number of recurring causes and the changes made to address them. Revisit comparable records later to see whether the problem is less common. Do not claim that a tidy database proves higher sales or employee performance. The operational benefit is more recoverable work with less repeated explanation.
