Setup checklist: distinguish facts from hypotheses
Record what the buyer has confirmed, what your team reasonably suspects and what remains unanswered. Those categories should not be blended into a confident summary. A contact expressing interest is different from an authorized decision maker approving a purchase. An honest unknown helps the next conversation; an invented answer can send the opportunity down the wrong workflow.
Use questions that affect the next decision
Identify the requirement, decision process, timing constraint and practical fit where relevant to your business. Do not impose a generic qualification acronym simply because it appears in a sales template. Ask which missing answer would change the next action or invalidate the proposed solution. For a fictional consultancy opportunity, a confirmed deadline may matter more than an early budget guess. Keep the reason for the question visible so colleagues do not collect information mechanically.
Record the source and date
A useful fact has context: who said it, when, and whether it still applies. If the buyer’s circumstances change, add the new evidence rather than silently rewriting the history. Separate internal interpretation from the customer’s actual words without reproducing unnecessary sensitive detail. A covering colleague should be able to tell whether the record supports a stage change or merely suggests a topic for the next conversation. That distinction is more valuable than a complete-looking checklist.
Test whether uncertainty leads to a useful next action
When an essential answer is missing, create a specific action to resolve it or decide not to proceed. Do not compensate by increasing the forecast probability.
