Write an action, not a label

A useful next action names what someone will do and the decision it advances. “Follow up” is usually incomplete. “Ask Alex whether the revised scope is ready for approval” tells the owner why the contact is happening. Add an accountable person and an appropriate date, then attach the relevant context. This standard is an editorial operating recommendation that can be used with Capsule’s tasks or another supported system; it is not a special product feature.

Include the condition for acting

Some actions should happen only after another event. Record that condition rather than relying on memory. For example, a proposal reminder may be inappropriate if the customer has already replied or the scope has changed. A covering colleague needs to know what to check before acting. Avoid placing confidential details directly in a short task title if it appears in broad views or notifications. Keep sensitive context only where authorized colleagues should access it.

Name completion evidence

Decide what finishing the task means. Sending a message, receiving approval and delivering an agreed result are different outcomes. A task can be complete while the larger opportunity remains unresolved. Record the actual result and create the next justified action rather than repeatedly reopening the same vague instruction. This preserves a useful history without turning the task list into a substitute for the whole relationship record. Do not mark an uncertain outcome as successful merely to clear the list.

Test with a colleague

Ask someone who did not create the task to explain the intended action, timing and boundary. If they need to ask the original owner, improve the wording or linked context. Keep the standard short enough to use consistently: action, owner, date, reason and completion evidence. Apply it first to important commitments rather than rewriting the entire archive. Better next actions usually improve handoffs more directly than another dashboard or a larger set of required fields.
