Setup checklist: a tag needs a stable meaning
Tags can help colleagues identify meaningful groups, but uncontrolled labels quickly become a second messy spreadsheet. Before adding one, define what membership means and what action it supports. Keep a small tag register
Record the label, definition, owner and removal condition. A temporary migration-review tag should not remain forever merely because nobody remembers why it was added. Distinguish tags used for a current workflow from historical context. If a value needs comparison, ordering or a precise answer, a field may be more suitable. If it needs an explanation, a note may be better. Do not encode the same idea in several mechanisms unless the relationship is explicit and maintained.
Review before bulk changes
Check whether filters, reports or automations depend on a tag before renaming or removing it through supported controls. A cleanup can break a working process even if the new label looks clearer. Preserve the intended membership and test a representative record. Do not assume import behavior will append all values rather than replace them; verify the current mapping behavior for the selected field type. Keep ambiguous records in a review set rather than forcing them into a convenient category.
Retire labels deliberately
When a tag no longer supports a decision, decide whether it should be removed, archived in history or replaced by a better structure. Keep the reason understandable to colleagues who used it. The aim is not the smallest possible number of tags, but a vocabulary people can explain and sustain.
