Troubleshooting: diagnose what the mailbox represents
An address such as enquiries at a company may be used by several people over time. That does not make all of those people one contact. Conversely, a single person may communicate through both a personal work address and a role mailbox. Establish what the address represents before using it as a unique identity. The problem is semantic, not simply a formatting defect that a duplicate-removal tool can safely solve on its own.
Model the relationship explicitly
Keep the organization context distinct from the people who act for it. Record a named person when that identity is known and relevant, while preserving the role address as an organizational contact point where supported. Do not invent a person’s name to satisfy a required field. If the product cannot represent the arrangement cleanly, document the chosen convention so colleagues do not later interpret a general mailbox as evidence of a specific individual’s consent or responsibility.
Check communication ownership separately
Your own team may also share a role inbox. A CRM record showing an email does not establish which colleague will respond. Name an owner for the next action and check whether someone has already acted before sending another message. Test the exact supported arrangement rather than using one successful personal-account example as proof for the whole team.
Repair the import problem carefully
If shared addresses caused ambiguous matches, stop bulk consolidation and inspect affected records with their original identifiers. Compare the source file, actual contact relationships and any open commitments. Keep unresolved cases separate until an accountable person decides the intended model. Then update the import rule so the next batch does not recreate the issue. The success condition is a clear relationship model and reply owner, not merely a lower duplicate count on a dashboard.
