Choose a reason before choosing an interval
A recurring review can help a team remember relationships, but a universal chase schedule is rarely a thoughtful relationship policy. Consider the customer’s actual situation, an open obligation or a useful future event. The review date is a prompt to decide whether action is warranted, not an instruction to send a message regardless of context. This distinction keeps the CRM from turning ordinary relationship care into repetitive outreach with no clear value for the recipient.
Separate review from contact
A task may ask the owner to inspect the relationship, confirm whether a promise remains open or update a changed role. None of those necessarily requires an outbound message. Record the result honestly. If there is a legitimate reason to reconnect, make the next action specific and relevant. Avoid using a stale-contact label as permission for bulk email. Applicable communication and privacy obligations still matter, and this guide does not provide a legal basis for outreach.
Adapt to the relationship state
An active purchase decision may need a date agreed with the buyer. An ongoing delivery relationship may need a review linked to the service commitment. A dormant record may need only an internal relevance check. These are different workflows, not merely different numeric intervals. Test the team’s convention with a few fictional cases and make sure a covering colleague understands why the review exists. Do not let an automation choose the purpose of the relationship for you.
Use outcomes to improve the cadence
If reviews repeatedly produce no useful action, reduce unnecessary work or reconsider whether the record belongs in the active workflow. If important commitments are still missed, improve ownership and context rather than simply shortening every interval. Keep changes tied to observed problems. The aim is relevant, recoverable attention—not maximum task volume. Continue to stale-contact review for relevance decisions and repeat-customer opportunities when a new commercial conversation genuinely deserves its own record.
