A customer relationship outlives one opportunity
A repeat client may have a completed assignment, an active delivery project and a possible new purchase at the same time. Treating all of that as one sales record makes the next action ambiguous. Keep the relationship context together while separating each commercial decision and accepted commitment. Capsule’s contact, opportunity and project concepts provide a basis for that model, but your team must define the boundaries and decide which record owns each next step.
Use a concrete repeat-business example
Imagine North Pier bought a brand review last quarter and is now discussing a website project. The previous work remains useful context, but the new budget, scope and decision date should not overwrite the old outcome. Record the new opportunity separately and link the relevant people. If the earlier delivery has an unresolved issue, make that visible as its own commitment rather than hiding it in the new sales narrative. This is an invented example, not a customer case study.
Do not automate relationship judgment away
A periodic review can help the team remember useful conversations, but a recurring reminder is not permission to send a generic sales message. Check whether the contact has a current need, an unresolved obligation or a legitimate reason to hear from you. Keep the next action specific. The objective is continuity and relevance, not maximizing the number of touches. A person who recently changed role may need a different relationship record or no outreach at all.
Evaluate the system on continuity
Ask whether a covering colleague can distinguish what was delivered, what is currently promised and what is merely being discussed. If that distinction is clear, the CRM supports repeat relationships rather than only new-customer acquisition. If not, fix the model before adding more fields or automation. Compare the opportunity and delivery guides next, then use the thirty-day review to see whether actual handoffs require less explanation and fewer corrective conversations.
